TERMS AND CONDITIONS

Please read the following terms and conditions carefully before submitting your booking application:

Public Liability Insurance  
1.1. Exhibitors are responsible for the insurance of their own property and must have current Public Liability Insurance to the value of £5 million or more at the time of the event.  
1.2. All exhibitors must submit photocopies of their insurance cover with this application and have originals with them for inspection at the time of the event.  
1.3. The exhibitor or agents shall not hold the organisers Fleet Business Improvement District (BID) Co. Ltd, Food Festivals Ltd or Sparkle Vegan Events responsible for any loss, damage, theft or destruction of any exhibit, goods, property or equipment.  
 Health and Safety  
 1.4. Onsite Health and Safety Management will inspect the site before set-up, during set-up, during the event and during closedown. 
Where appropriate, sites may also be inspected by Environmental Health, Trading Standards Officers or any other professional body.  
1.5. Electricity: If requested an electricity supply will be made available at your stall. The use of personal generators is strictly prohibited. 
1.6. If your stall requires any powered appliances, you must supply the relevant safety certificates; you must also provide fire extinguishers and provide barriers around this equipment. 
1.7. Exhibitors selling food must provide food hygiene and safety certificates in advance of the event as well as make them available for inspection on the day.  
1.8. Exhibitors using liquid gas petroleum cylinders are expected to provide suitable storage facilities. All cylinders must be installed prior to the opening of the event and must not be transported during the event.  
1.9. All electrical equipment must be PAT tested with a current sticker/certificate with the equipment.  

 General   
1.10. Pitches are non-transferable. At no time does acceptance of an application bestow any rights or expectation that a pitch will be in a particular position/location. The Festival organisers’ decisions are final with regard to the layout and position of the stalls.  
1.11. Exhibitors arriving at the Festival who have not prepaid will not be permitted to trade.  
1.12. Exhibitors are required to stay for the full duration of the event and may only begin packing up after closing time. 
1.13. Anyone found selling illegal, counterfeit or inappropriate goods will be removed from site and the relevant authorities informed.  
1.14. Smoking is prohibited on site.  
1.15. Any exhibitor who cancels a booked stall, for whatever reason, shall forfeit all fees paid and Fleet Business Improvement District (BID) Co. Ltd, Food Festivals Ltd and Sparkle Vegan Events shall reserve the right to re-let such stalls. No refunds will be given due to bad weather or ground conditions.   
1.16. Fleet Business Improvement District (BID) Co. Ltd, Food Festivals Ltd and Sparkle Vegan Events reserve the right to cancel this agreement at any time by giving notice in writing to the exhibitor at the address given on the application form whenever it is of the opinion that the continuance of the hiring would not be in the interests of the good management of the site or in the event of the Government, the Council or other Public Body requiring the use of the site for any matter of special importance.  
1.17. Your exhibition space and immediate surroundings must be kept tidy at all times and all rubbish removed at the end of the day into the trade waste area provided on site and not left outside your exhibition area. You must make arrangements to deal with trade waste responsibly and are not permitted to use the public waste bins.  
1.18. No exhibitor shall be allowed to call attention to goods or services, or use any equipment as to cause annoyance or nuisance. Selling of goods by auction is prohibited. 
1.19. Exhibitors are to display their name and address in a size and style that can be seen by the public. The price of goods being sold is to be clearly displayed at all times. 
1.20. Exhibitors must provide their own equipment such as sturdy gazebos, weights and tables.
1.21. Both non-food and food products sold, promoted or offered for sampling must be 100% vegan. This means that no animal products will have been used in the processing of or in the final product. Particular attention should be paid to ingredients such as beeswax, bee pollen, honey, wool and leather. The organisers reserve the right to remove any products deemed not to fit these criteria at the event from sale, promotion and sampling. Cosmetics, cleaning products, nutritional supplements etc must not have been tested on animals and must be vegan. If you are unsure, Sparkle Vegan Events will be happy to offer further guidance. We ask that exhibitors do not bring any non-vegan products to the festival for personal use. The promotion of non-vegan items will not be permitted under any circumstances.
